Employee Attendance Software in Egypt: A Buyer's Guide

Employee attendance software in Egypt: free download or app? PC, Android or iPhone? Paper, Excel, fingerprint and GPS compared, plus a 10-point checklist.

In Egypt, employee attendance software records when each person starts and finishes work, then turns those records into lateness, absence and hours figures that payroll can use. If you are looking for a free download, the more important question is not where to find one but whether it fits where your people actually work: one front door suits a fingerprint device, while branches and field staff suit a mobile app that verifies location. This guide compares the four main methods, explains when free tools are enough, weighs PC software against Android and iPhone apps, and gives you a checklist to test any vendor against.

TL;DR. There are four ways to take attendance: paper or Excel, a biometric device (fingerprint or face) on the wall, a mobile app that checks the phone's location, and a QR code, barcode or shared kiosk. A device proves who arrived at one door; a GPS app proves where someone checked in, across many sites. Free tools are fine for a handful of people in one place. Before you buy, check five things: how check-in is verified, whether it works for staff outside the office, whether lateness and absence are calculated automatically, whether the output feeds payroll, and the total monthly cost in EGP.

What a time and attendance system actually does

Every attendance system, from a paper register to a cloud app, does the same three jobs. Judging a product is mostly a question of how well it does each one.

  1. Capture. A record is created when someone starts and ends work: a signature, a fingerprint, a QR or barcode scan, or a phone check-in. The best capture is done by the employee, at the moment, without a second person typing it in later.
  2. Verify. The system checks the record is genuine. Paper verifies nothing. A fingerprint confirms identity at one device. A GPS app confirms the phone was inside a radius you set around the workplace.
  3. Calculate and report. Raw times become late minutes, absent days and hours worked, measured against each person's scheduled start. This feeds payroll, and it is where most spreadsheets quietly go wrong.

When people talk about a "smart" attendance system, they usually mean the second and third jobs happen without anyone opening a spreadsheet. That is what you are paying for: trustworthy records and calculations nobody has to redo at month-end.

The 4 attendance methods compared

Most Egyptian businesses have tried at least two of these. Each is good at something; none is good at everything.

Paper register or Excel Biometric device (fingerprint or face) Mobile GPS attendance app QR code, barcode or shared kiosk
Cost type Almost free; staff time is the hidden cost One-off device purchase plus installation, per site Monthly or yearly subscription; some have a free tier Low hardware cost plus software
Risk of signing in for a colleague High Low at the device itself Medium: the phone must be inside the radius, but can be handed over Medium to high, depending on how codes or cards are protected
Proof of location None Only that the person reached that device Phone location checked against a radius you set Only that the person reached the code or tablet
Staff outside the office Not covered One device per site; field staff not covered Works wherever the phone has a signal One code or kiosk per site
Setup effort Minutes Buying, mounting, enrolling every fingerprint or face Install the app, mark locations, invite staff Print codes or mount a tablet
Link to payroll Manual formulas Export a file, then clean and calculate Usually calculated inside the app Depends on the software behind it
Best fit A few people in one room One fixed site with one entrance Several branches, field teams, remote managers Shared sites where staff lack smartphones

A fingerprint device is the strongest option for identity at a single entrance, which is why it is popular in factories and schools; our guide to fingerprint attendance machines covers types and costs. Its weakness is everything outside that doorway: the technician who starts at a client in Sheikh Zayed, the guard at a site in New Cairo, or the sales rep who never comes to the office. For those teams, GPS attendance for field teams is usually the practical fix. If you run shifts, the attendance record is only half the job; you also need a shift handover checklist that shows who took over what, and when.

On accuracy, be realistic. According to GPS.gov, GPS-enabled smartphones are typically accurate to within about 4.9 metres under open sky, and accuracy worsens near buildings, bridges and trees. In dense parts of Cairo or Alexandria, set the office radius with that drift in mind rather than at the exact wall of the building.

Free attendance software: when is it enough?

Searches for free attendance software or an Excel template are common, and they deserve an honest answer. A free tool is not a bad choice by default; it is a choice with a different cost.

Free is enough when:

  • You have a small team in one location.
  • One trusted person records attendance and also runs payroll.
  • There are no field staff and no night shifts crossing midnight.
  • Month-end takes an hour, not a day.

It stops being free when:

  • Data is copied from a paper register, WhatsApp messages or a device export, and every copy adds typos.
  • Two or more branches keep their own files in their own layouts.
  • Salary disputes come down to a cell someone typed.
  • Reconciliation eats a full working day each month.

Free options come in three shapes, each with limits:

Shape What you get Limits
Excel or Google Sheets A log and formulas you build Depends on whoever types into it
A free desktop program Software installed on one PC Backups and updates are on you
A free tier of a cloud app A hosted app for a few employees Caps on staff or features

If you are still on a spreadsheet, our guide to the Excel attendance sheet lists the columns, formula traps and a five-day migration plan.

PC software or an app for Android and iPhone?

Someone searching for attendance software to install on a PC usually pictures a program on the office computer. Someone searching for an attendance app for Android or iPhone wants something on the phone. The difference is not just the device; it is who records the time:

  • PC software means check-in happens at that computer, or at a fingerprint device connected to it. It lives on one machine, backups depend on someone remembering, and versions can stop being updated.
  • A mobile attendance app means each employee checks in from their own phone and the manager sees results from anywhere. That is what makes remote attendance possible: the employee at a client site, the manager in another office, one shared record.
  • A mobile app plus a browser dashboard combines both: staff on phones, management on a computer.

Look for genuinely Arabic attendance software, not a token translation, because employees are the people who use it every day. For a closer look at mobile options, see our employee attendance app guide for Egypt.

Hikvision or ZKTeco software for a device you already own

If you already own a fingerprint or face terminal, a search for Hikvision or ZKTeco attendance software usually means you need the program that reads that device. Download it only from the manufacturer's official website or the supplier who sold you the device, never from unknown links, because it will be installed on a PC that holds your employees' data. Remember that device software reads records but does not know your lateness rules by itself, and it does not cover anyone who never passes the device.

Building your own: Access, open source or barcodes

Some companies consider building an in-house system: an Access database, an open-source attendance project they customise, or barcode cards. It can work if you have a developer on hand, but watch three things:

  1. Maintenance never stops. Every change in hours, branches or labour rules needs someone to update the code.
  2. Verification is usually weak. Barcodes and cards can be handed to a colleague, just like paper.
  3. Payroll is the hard part. Connecting attendance to HR records and payroll is the most difficult piece of any home-built system.

A 10-point checklist before you choose

Use this list in every demo of employee attendance software in Egypt. Ask the vendor to show you each point in the product, not on a slide.

  1. Check-in verification. Fingerprint, face, GPS radius, QR? What happens when someone checks in outside the radius?
  2. Field and multi-site staff. Can people check in from a client site, a second branch or a night post?
  3. Phones your staff own. Does the app run on ordinary Android phones as well as iPhones?
  4. Schedules and lateness rules. Can you set a scheduled start per person or group?
  5. Automatic calculations. Are late minutes, absent days and hours worked calculated for you?
  6. Payroll output. Does it produce a month-end sheet with deductions applied, or a raw log?
  7. Reports and live view. Can a manager see who is in right now, and pull a monthly report per branch?
  8. Arabic and English. Can both HR and staff use it comfortably?
  9. Total monthly cost in EGP. Devices, installation, per-employee fees and annual renewals.
  10. Exit and data. Can you export your records if you leave? Who can see location data?

From attendance to payroll: where the money is

Attendance and payroll software are often sold separately, but the value is in the connection. Every disputed salary in a small business comes back to one question: what time did this person actually arrive, and who recorded it?

A clean flow: each employee has a schedule and a location; the employee checks in and the system verifies; lateness and absence are calculated against the schedule; a manager reviews exceptions weekly; and the month-end sheet goes straight into the salary run. Our guide to attendance and payroll maps what each attendance event does to pay, and our guide to payroll software for Egyptian SMBs works through a full salary example.

The Egyptian legal context, briefly

Labour Law No. 14 of 2025 was published in the Official Gazette on 3 May 2025, took effect on 1 September 2025 and repealed Labour Law No. 12 of 2003; the full Arabic text is on the Ministry of Labour website. Article 117 limits actual work to eight hours a day or 48 hours a week, and Article 122 requires employers to post a schedule of working hours and rest in a visible place.

Software does not make you compliant on its own. What it gives you is an accurate, time-stamped record, which is the evidence any overtime calculation or deduction depends on. We explain the deduction limits and procedure article by article in our guide to attendance policy under Egypt's Labour Law. Review your policy with a qualified labour lawyer before you automate it.

How Yawmy does this

Yawmy is an attendance and employee-management app for small and mid-sized teams in Egypt and the Gulf, built around the mobile GPS method in the table above. According to the Yawmy website:

  • Employees check in from the iOS app on the App Store or the Android app on Google Play, both free to download, or through a Telegram bot with nothing to install.
  • Each check-in is verified by GPS against the office radius you set.
  • Lateness and absence deductions are calculated automatically into an end-of-month payroll sheet.
  • A live dashboard and reports show attendance, lateness and hours, with staff grouped by branch or department, task assignment and visit reports.

Yawmy is free for up to two employees. The Pro plan is 500 EGP per month or 4,500 EGP per year for unlimited employees. If your team works at one door and identity is your main concern, a fingerprint device may suit you better; Yawmy is built for teams spread across branches and the field.

FAQ

What is the best employee attendance software in Egypt?

There is no single best option; it depends on where your staff work. A fingerprint or face device suits one fixed site with one entrance, while a GPS mobile app suits several branches and field teams. Use the 10-point checklist above to compare your shortlist.

Is there free attendance software I can download?

Yes. There are free templates and desktop programs, and some apps have a free tier for very small teams, including Yawmy for two employees. They work for a few people in one location. With several branches or field staff, the time spent fixing records usually outweighs the saving.

Is there an attendance app for Android and iPhone?

Yes, many attendance apps run on both, and employees check in from their own phones. Yawmy, for example, is free to download on the App Store and Google Play, and also works through a Telegram bot. Make sure the app verifies location rather than just offering a check-in button.

Can attendance be tracked remotely?

Yes. That is what mobile apps do: the employee checks in from where they actually work, the system compares their location with the radius you set, and the manager sees reports from anywhere. It suits sales reps, technicians and distant branches.

Fingerprint device or mobile app: which is better?

A fingerprint device is stronger at proving identity at one door and needs no smartphones. A mobile GPS app is stronger at covering many locations and staff who never come to the office, and usually calculates lateness for you. The number of sites usually decides it.

Can employees cheat a GPS attendance app?

It is harder than on paper, because the check-in must come from the employee's own phone inside the radius. A phone can still be handed to a colleague, so combine the app with a clear policy, spot checks and a manager who reviews repeated patterns.
